Business Support & Administration Executive (Based in Penang)

We are looking for a detail-oriented and proactive Business Support & Administration Executive to ensure smooth coordination between sales, operations, and customers
Responsibilities
Sales & Business Support
- Provide administrative and operational support to the sales team
- Coordinate with internal teams for product availability, and delivery timelines
- Maintain and update customer records, CRM, and sales reports
Order Processing & Coordination
- Process sales orders, and invoices
- Coordinate with vendors, logistics, and warehouse teams for order fulfillment
- Track delivery schedules and project timelines
- Ensure accurate documentation for shipments and deliveries
Invoicing & Payment Coordination
- Prepare and process sales invoices, delivery orders, and supporting billing documents
- Coordinate with customers to ensure timely submission of invoices and required documentation
- Follow up on payment status and outstanding invoices with customers
- Work closely with the finance team to reconcile payments and resolve billing discrepancies
- Maintain accurate records of billing, collections, and payment tracking
- Assist in preparing aging reports and payment summaries when required
Administration & Documentation
- Manage contracts, service agreements, and supporting documentation
- Maintain organized records for sales, projects, and service support
- Assist with inventory tracking and asset records
Customer & Internal Coordination
- Act as a liaison between customers, sales, and technical teams
- Respond to customer inquiries regarding orders, documentation, or delivery status
- Support internal teams with meeting coordination and reporting
Requirements
- Experience in sales support, business administration, or operations support (experience in IT / technology industry is a plus)
- Strong organizational and documentation skills
- Proficient in Microsoft Office (Excel, Word, PowerPoint)
- Detail-oriented, proactive, and able to multitask
- Good communication skills in English
- Ability to work in a fast-paced business environment
